# Members and teams

A workspace is where your team's recordings live. Everyone in a workspace sees every recording in it, can comment on it and can triage it. Each person belongs to one workspace at a time.

When you sign up, Faylee creates a workspace for you with you as its owner. You then bring your team in with invitations, an invite link, or by opening the workspace to your company's email domain.

## Roles

Each member has one of three roles. Workspace admins and owners change roles under **Settings**, **Members**.

| Role | What they can do |
|---|---|
| **Owner** | Everything an admin can do. A workspace always has at least one owner. |
| **Admin** | Manages members, invitations, integrations, webhooks, the assistant, privacy rules, sites, single sign-on, storage and the audit log. Can delete any recording or comment. |
| **Member** | Records, comments and organizes. Can view, edit, triage, file and share any recording in the workspace, and make folders and recording links. Deletes only their own recordings and comments. |

The **Workspace** section of Settings shows only to admins and owners. Everyone can reach their own **Account** settings: Profile, Security, Browsers and tokens, and Agents.

You can't demote or remove the last owner of a workspace. Make someone else an owner first.

## Inviting people

1. Open **Settings**, then **Members**.
2. Press **Invite people**.
3. Type up to 20 email addresses, separated by commas, spaces or new lines.
4. Choose the **Role** they join with.
5. Press **Send invitations**.

Each person gets an email with a link that works for 7 days. Until they accept, they are listed under **Pending invitations**, where you can **Send again** or **Revoke** the invitation. Revoking stops the link in their email from working, and you can invite them again later.

Someone who already uses Faylee can accept an invitation only if their current workspace has no other members and no recordings. Their empty workspace is then removed. Someone whose workspace has other people or recordings is told so, and has to leave or empty it first.

## Invite link

An invite link is one link you can paste where your team talks, such as a team chat.

1. Open **Settings**, then **Members**.
2. Under **Invite link**, optionally type a domain in **Only addresses at**, such as `acme.com`, to accept only addresses there.
3. Press **Make a link** and copy it.

Whoever opens the link gives their work email, and Faylee emails them an ordinary invitation to join as a member. Opening that email proves they own the address. People who join through the invite link always join as members.

**Make a new link** replaces the link, and the old one stops working. **Turn off** stops the link without making a new one.

## Joining by email domain

You can let colleagues join without an invitation. When they sign up with an address at your company's domain, they find your workspace and join it.

1. Confirm your own email address, if you haven't. Settings asks for the code Faylee emails you.
2. Open **Settings**, then **Members**.
3. Under **Join by email domain**, turn on **People with a @yourcompany.com email can join**.

The workspace opens to the domain of your own address. People join as members, and only after confirming their own email address at exactly that domain. Domains at public email providers, such as gmail.com or outlook.com, can't be opened this way. Invite those people or share the invite link instead.

When someone who already uses Faylee on their own signs in later and their domain has opened up, their empty library shows "Your team is already on Faylee" with a way to join.

## Getting started

### Onboarding

A new account goes through a few short steps after signing up. Which ones apply depends on how the person arrived.

1. **Check your email**, for people who signed up with a company address. They type the code Faylee emailed them.
2. **Join your team**, when workspaces are open to their confirmed domain. They can join one, or create a new workspace.
3. **Name your workspace**, for people at a company domain who start their own. Faylee suggests a name from the domain, and they can open the workspace to the domain from here.
4. **About you**, for everyone. Their name, if Faylee doesn't have it, and the kind of work they do.

Someone who joined through an invitation or single sign-on only sees the last step.

### Setup checklist

Until setup is done, a checklist sits at the foot of the sidebar with what is left:

- **Install the extension**
- **Record your first bug**
- **Connect your tracker**, for admins.
- **Invite a teammate**, for admins. It counts as done once someone else is in the workspace or an invitation is pending.

The checklist goes away once every step is done, or when you close it.

## Removing a member

1. Open **Settings**, then **Members**.
2. Press **Remove** on the person's row and confirm.

They lose access to the workspace and its recordings. The recordings they made stay in the workspace. Faylee also signs out their browsers and tokens, and turns off the recording links they made, so nobody can keep sending recordings through them. Sites they added for the [site widget](https://faylee.app/docs/support/widget.md) stop accepting reports.

The person keeps their Faylee account, with a new empty workspace of their own.

:::note
When your workspace uses SCIM, removing or deactivating someone in your identity provider removes them from Faylee the same way. See [Security and SSO](https://faylee.app/docs/workspace/security#scim).
